Task Two: Applying My Knowledge

After each meeting the events management team added deadlines to the calender. This was important  so we could all stay on task and as proven throughout the running of the event when a deadline was missed it had a knock on effect for other departments. Following the calender ensures a smooth running of the events management process

It is important that minutes be taken for meetings throughout the process so that deadlines can be agreed and we have evidence of them being agreed to. This way when we look over minutes we can hold people accountable who stated they would complete a deadline. Also, should people miss meeting they can read the minutes and be up to date for the next time they're in and no time is wasted catching them up with what has been discussed.

Above are the Risk Assessments from that werer written up for both the college and Arley Hall.  We needed risk assessments because it was essential that we followed the law, in order to keep not just ourselves, but the audience and acts safe too.
Hazards and risks are identified in this documentation to eliminate any potential accidents from occurring. It was our responsibility to minimise the risks as much as possible.


4. Staffing and Recourse lists

Here are checklists written up by the Events Management Team. These were important throughout the planning of the event as it ensured that nothing was left out and that nothing was forgotten or not accounted for. This way all tasks were completed in the  necessary order.

 


This is a study visit form for students who acted as crew but were under the age of 18. As we were taking the students off campus, we needed parental permission should anything serious happen we would not be held accountable.

The code of conduct was signed by all students partaking in this event. This document holds the students accountable for all there actions and also outlines what is expected of them during the visit. By signing this they agree to behave as instructed on the document.
 


This document was created so that should we need to make contact with any student attending the event at anytime we could do so. They wrote both their personal and home number. This was also so we could contact the parent or guardian of the students should we need to, informing them of any issues or concerns,



This register was taken to ensure that everyone who attended the event on the minibuses also got home this way. This way no one was left behind.
 


This was a checklist I made on the day of the event of items/equipment that had been forgotten and needed to be collected from college when I returned to collect the IB Students.





Above are the set design sketches and a scale drawing. As Assistant Events Manager I was responsible for assisting the set designer in producing concept ideas as he had missed several deadlines and without assistance this would not have been done.
